Overview

In this guide, we will show you how to map returns, to allow you to send credit notes across to your Xero account for any returned sales orders. 

Before you start

Before you are able to send credit notes across to Xero, for returned sales orders, you will need to either manually mark orders as returned or set up for returns to be automatically imported from your sales channels.

If setting up auto-import of returns, in this instance, you will need to ensure that you update the return prior to creating the credit note, to ensure that the correct return information is sent across to Xero alongside the credit note.

Mapping returns on Expandly

1. Click Settings (left menu) and then Xero:

2. On the Configure Xero page, click on the mceclip1.pngtab (above the Map Sales Channels section)

3. On the Map Returns tab, map your Sales Channels, Other Revenues and Taxes by using the drop-downs or alternatively by clicking  mceclip2.png to duplicate the mapping you have set up on your Sales Orders tab. 

4. Once all sections have been mapped, remember to click mceclip3.png at the top of each section to save your changes. 

5. Within the Tracking Category section you can either mceclip2.png or mceclip4.png to fetch tracking category information from your Xero account. Once done, click mceclip3.png

6. Within the Xero Setting Scheduler, you can determine whether you wish to send your return credit notes over to Xero automatically via the schedule. To enable this, switch the toggle from mceclip5.png to mceclip6.png and select your preferred Frequency and Time Zone from the drop-downs:

mceclip7.pngAlternatively,  click mceclip2.png to duplicate schedule settings already set up on your Sales Orders mapping. Once done, click  mceclip3.png.

Sending credit notes to Xero

If you have not set up a Xero scheduler, to automatically send your credit notes to Xero, please follow the below steps, to manually create the credit note in your Xero account.

1. Click Sales Orders (left menu) and then Manage Returns:

2. On your Manage Returns page, find the return you wish to edit by searching for the Order or Returns Number, or by using the filters:

3. Click mceclip11.png(far right) and then select mceclip9.pngfrom the drop-down.

4. The return will then be added to a queue - this will be available to view on Xero within 10-15 minutes. 

Sending credit notes to Xero in bulk

1. Click Sales Orders (left menu) and then Manage Returns:

2. On your Manage Returns page, find the returns you wish to edit by searching for the Order or Returns Number, or by using the filters. Once located, select the orders you wish to send to Xero by using the tick box to the left hand side. 

3. Click mceclip10.png (top right) 

4. The returns will then be added to a queue - these will be available to view on Xero within 10-15 minutes.
