Overview

In this guide, we will show you how to integrate your Expandly account directly with Royal Mail to generate shipping labels and print your Royal Mail manifest. 

Before you start

You will require a Royal Mail OBA account to be able to integrate with Expandly and will require access to your Posting Location Number, Royal Mail OBA Number & OBA registered email address. Access to these details, if not known, can be obtained from your OBA account. 

Adding Royal Mail to Expandly

1. Click Settings (left menu) and then click Shipping:

mceclip0.png2. On your Manage Shipping Service page, click mceclip1.png (top right).

3. On the Add Shipping Service page, within the Direct Integration section, click on the Royal Mail logo:

mceclip2.png4. On the Adding Shipping Service - Royal Mail Integration page, complete your Company & Personal Details as they appear on your Royal Mail account:

5. Within the Your Royal Mail Account configuration section, select all of the services that are enabled on your Royal Mail account:

6. Once finished, click mceclip5.png

7. Once you have saved the details, Expandly will receive notification of this and will contact Royal Mail to confirm your details and activate the connection. It can take 3-5 working days for Royal Mail to complete this and you will receive email notification once you are ready to ship. 

Generating Royal Mail Shipping Labels

1. Click Sales Orders (left menu) and then click Manage Sales Orders:

2. From the Mange Sales Orders page, find and select the order(s) you want to generate the shipping label(s) for by using the filter options and selecting by ticking the box (right side):

3. Once orders have been selected, click mceclip8.png and then mceclip9.png

4. On the Generate Shipping Label pop up, select carrier by click the Royal Mail logo and click mceclip10.png

5. On the Generate Shipping Label pop up, select the Service Format, Service and enter Dimensions:

Please Note:

  • Length, Width and Height are conditional dimension fields and this information does not need to be provided when generating labels. Any Length, Width & Height dimensions that are provided when creating labels, will be sent across to Royal Mail so please ensure accurate information is being provided. 
  • Weight is a mandatory field and Total Weight information must be provided when generating your labels. 

6. Once all required details have been added, click mceclip12.png  to generate the label.

7. On the Generate Shipping Label pop up, you have the following options:

  • Print Label - to print the label that you have just generated
  • Print Invoice - To print an invoice out for the order
  • Mark as Shipped - To update the status of the order on Expandly and your sales channel(s)

You do not need to print the label straight away if this is not required and this can be done at a later time via your Manage Sales Orders page:

Printing Royal Mail Shipping Labels

1. Click Sales Orders (left menu) and then click Manage Sales Orders

2. From the Mange Sales Orders page, find and select the order(s) you want to print the shipping label(s) for by using the filter options and selecting by ticking the box (right side).

Please Note: Any orders where labels have been generated but not printed will show a orange label icon within the Shipping Label Printed column. Any orders where labels have been generate and already printed, will show a green label icon instead. 

3. To print labels one-by one, click Actions (right hand side) >Print Shipping Label:

4. To print labels in bulk, click Shipping (top right) > Re-Print Shipping Label:

5. Your label will then be generated for you to print:

Cancelling Royal Mail Shipping Labels

1. Click Sales Orders (left menu) and then click Manage Sales Orders

2. From the Mange Sales Orders page, find and select the order(s) you want to cancel the shipping label(s) for by using the filter options and selecting by ticking the box (right side).

3. To cancel labels one-by one, click Actions (right hand side) >Cancellation Shipping Label:

4. To cancel labels in bulk, click Shipping (top right) > Cancel Shipping Label:

5. On the Reason for Cancellation pop up, provide cancellation details and click mceclip22.png once finished:

Creating a Royal Mail Manifest

1. Click Sales Orders (left menu) and then click Manage Sales Orders

2. Click mceclip23.png (top right) to product a manifest for all labels created that day:

Please Note:

Any label created throughout the day, which you have not created a manifest for, will be auto-manifested at 11.30pm (GMT) each day. 

If you do not wish for auto-manifests to be created each day, please contact Expandly and we will raise a request through Royal Mail to disable the manifest automation. Please be aware that should auto-manifest be disabled, any shipments created after the manifest has been created, will fall onto the next manifest. It is the customers responsibility to ensure that manifests are generated, otherwise Royal Mail may chase and fine.
