Overview
In this article, we will explain the quantity logic which Expandly applies when importing products to Expandly where your sales channel listings - of the same product - have different stock levels assigned to them.
When importing your listings to Expandly, the product will be created on Expandly, based on the initial sales channel you import from. There may be occasions however where you have that same product SKU and/or Title listed across other sales channel(s), where the quantity differs. If you are wishing to auto-merge your product & listings together on Expandly, to ensure accurate stock levels and mange inventory effectively, the differing quantities will cause a conflict, so we have implemented the following logic to handle this.
1. Where the product quantity is greater in Expandly, than the listing imported quantity, the quantity on Expandly will not be changed.
2. Where the product quantity is less in Expandly, than the listing imported quantity, the quantity on Expandly will be updated on Expandly in accordance to the listing quantity.
3. Where the product quantity is greater than 0 (zero) in Expandly, and the listing imported quantity is 0 (zero), the quantity on Expandly will not be changed.
As a result of this logic, there are a number of different scenarios to be aware of:
Scenario 1
Quantity of 0 (zero) is associated with the product in Expandly but in stock on the channel listing that is being imported.
In this scenario, the sales channel quantity will supersede the quantity of 0 (zero) that is associated with the product in Expandly.
For Example: a Shopify listing has a quantity of 10 and the same product in Expandly has a quantity of 0. In this scenario, the stock quantity following the import from Shopify, would be 10.
Scenario 2
Quantity is in stock on the product that is in Expandly but has a 0 (zero) stock level associated on the channel listing that is being imported.
In this scenario, the in stock quantity value within Expandly will not change. The sales channel listing will become attached the the product but the 0 (zero) quantity value will not be imported and become associated with the product in Expandly.
For Example: a Shopify listing has a quantity of 0 and the same product in Expandly has a quantity of 10. In this scenario, the stock quantity following the import from Shopify, would be 10.
Scenario 3
The quantity associated with the product in Expandly is higher than the quantity associated to the sales channel listing that is being imported.
In this scenario, the quantity value within Expandly will not change. The sales channel listing will become attached the the product but the lower quantity value will not be imported and become associated with the product in Expandly.
For Example: a Shopify listing has a quantity of 3 and the same product in Expandly has a quantity of 5. In this scenario, the stock quantity following the import from Shopify, would be 5.
Scenario 4
The quantity associated with the product in Expandly is lower than the quantity associated to the sales channel listing that is being imported.
In this scenario, the sales channel quantity will supersede the quantity that is associated with the product in Expandly prior to the import of the last imported listing - the higher sales channel listing quantity will be the quantity shown on the product in Expandly.
For Example: a Shopify listing has a quantity of 5 and the same product in Expandly has a quantity of 3. In this scenario, the stock quantity following the import from Shopify, would be 5.
How to avoid incorrect stock levels being associated with products.
If you are aware that some sales channel listing quantities may be incorrect, there are a number of ways you can manage this:
- Ensure stock levels are correct and consistent across sales channel listings prior to importing to Expandly, to avoid any quantity import issues.
- Once all listings have been imported, you can carry out a Stock Take, to ensure that all quantities associated within Expandly are correct, prior to enabling live inventory. - If you are unable to ensure accurate stock levels prior to importing your listings, do not want to carry out a Stock Take or alternatively, if you do not wish for quantities to be auto-merged, and want to keep the different stock levels associated with each listing, we recommend setting 'Do Not Merge' as your merge preference to create separate products for you to manage within your Expandly.
