At Expandly, we want to ensure your inventory is handled safely and efficiently. This guide explains what quarantine stock is, how it is managed, and what actions you should take to avoid unnecessary fees.
Quarantine stock is inventory that has been temporarily separated in a designated area due to concerns about:
Quality
Safety
Compliance with regulations
This ensures that only products in good condition are available for sale or fulfilment.
When goods are received—whether as part of an ASN (Advance Shipping Notice) or a return—our Warehouse Team conducts a quality check.
They inspect packaging and the products for damage or other issues.
If any concerns are found, the stock is placed in quarantine until a decision is made.
While items are in quarantine, they are charged at double storage costs, in line with our standard rate card.
Tip: To avoid unnecessary fees:
Regularly review your quarantine stock
Stay in contact with your 3PL Team
Decide quickly how you want the stock handled
Your Product In Location (PIL) Report provides a full breakdown of all stock in our warehouses, including any items in quarantine.
Use this report to manage and review your quarantined stock
Decide whether stock should be returned, disposed of, or released into normal inventory
If you haven’t received your PIL Report, contact your dedicated CSR and we’ll set it up for you.
It’s important to decide quickly how to handle quarantined items to avoid extra charges. You have two main options:
Return the Stock – Place an order in the OMS and our team will coordinate the return.
Dispose of the Stock – We can safely dispose of your stock for a £100 fee (includes £25 admin + £75 environmental fee).
Important: All disposal actions are handled responsibly to minimise waste and recycle wherever possible, in line with our ISO 14001 accreditation.
If we don’t receive instructions within 3 months of the SKU being quarantined, the stock will be automatically disposed of, and the associated service will be chargeable.
If you have any questions about quarantine stock or need guidance on managing it, our team is here to help.
Review your PIL Report regularly
Place OMS orders promptly for returns or disposal
By actively managing quarantine stock, you can avoid unnecessary fees and ensure your inventory moves efficiently.
