Creating ASNs in Expandly

Overview

In this guide, we will explain how you can create ASNs within your Expandly portal.

What is an ASN? 

An ASN stands for Advanced Shipping Notice. It is a pre-alert document sent to Expandly before your shipment arrives at their warehouse and it lets the warehouse team prepare for your delivery in advance.

What is included in an ASN?

Typically, an ASN includes:

  1. Estimated delivery date
  2. SKUs and quantities
  3. Packaging format (e.g., pallet, carton)
  4. Carrier and tracking details
  5. PO reference (Purchase Order ID)
  6. Supplier name
  7. Special attributes requirements (e.g., dangerous goods, batch info)
  8. Inbound method (how stock will be handled)
  9. Optional comments and attached files

Why is it important to create ASNs? 

ASNs help ensure:

  1. Faster and more accurate goods-in processes
  2. Proper space and staffing preparation
  3. Early detection of discrepancies (e.g., missing or unexpected items)
  4. No unnecessary "No ASN" charges (as listed in the rate card)

Requested Notice Periods for ASN Deliveries into our Warehouses

To help our Warehouse Team effectively manage incoming deliveries and ensure your ASN can be received without issue, we kindly ask that as much notice as possible is given—especially for larger shipments that require more planning. As a guideline, we recommend the following notice periods:

  • Containers: Minimum 7 working days’ notice

  • Pallets: 3–4 working days’ notice

  • Cartons: Ad-hoc, depending on volume

If you’re unable to provide the recommended notice on occasion, the Team will of course do their best to support you. However, please be aware that if the Goods-In Calendar is already full, we may not be in a position to accommodate late notice deliveries.

To help us plan effectively and avoid delays, please ensure your Customer Success Representative (CSR) is kept updated on all ASNs—especially if there are any changes to an agreed ETA. We will need to re-confirm receipt with the Team in such cases.

Creating a New ASN in Expandly: Step-by-Step guide

1. Log into Expandly 
2. Click on ASN (left menu)

3. On your Manage ASN page, click  (top right) 
4. On your Create New ASN page, fill in all required sections:
WMS Account - select your account from the drop-down
Warehouse - select the applicable Warehouse location from the drop-down, based on where the stock is being delivered:
Est. Delivery Date - on the calendar, select the estimated delivery of the shipment, to arrive into the warehouse. Please Note: should the ETA change in the future, this can be updated on the ASN and should be kept up-to-date at all times, to ensure that the delivery date information is accurate and correct in  our Goods-In Calendar
PO Reference - if you have any PO or shipping reference, to differentiate your different shipments, this can be added in this field
Supplier - from the drop-down, you can select the supplier of the shipment. Please Note: Suppliers can be created within the Suppliers section of your Expandly portal 
Delivery Type - from the drop-down, select the relevant Delivery Type for the goods (carton, pallet, container, for example). Please Note: You will be charged based on the Delivery Type entered on the ASN so please make sure that this detail is correct
Quantity - add the quantity expected to be received - the 'Quantity' field pertains to the selected delivery type (pallet, carton, container etc.) and does NOT represent the quantity of items or units within the shipment - this can be added later on
Attributes - here, you can specify any attributes for the goods that are being sent in (Dangerous Goods, Batch Managed etc.). If there are no specific Attribute requirements, please select 'Not Applicable' from the list:
Inbound Type - from the drop-down, you can determine how you wish for us to inbound and store your goods, once received into the warehouse: 
Comments - within the comments section, you can add any notes that you believe may be important for the Team to know, in relation to the shipment. This could include tracking numbers, haulier details, custom clearance information or additional references, for example
Files - if there are any files that you wish to upload in relation to the ASN (BOL, MDS, PO documentation etc.), click  where you will be able to upload/drag and drop the files to add copies to the ASN. Please Note: File attachments must be Pdf format (10MB file size limit)
Products - use the search field to add the products and quantities expected to be delivered to the warehouse
5. Once done, please click  (bottom right)

Viewing ASNs

1. Log into Expandly 
2. Click on ASN (left menu)
3. On your Manage ASN page, you can view all ASNs that have been created. Here, you will also be able to view the current status of this shipment, make any changes to the ETA and upload additional attachments, if required:

Amending ASN ETA's

1. Log into Expandly 
2. Click on ASN (left menu)
3. On your Manage ASN page, click within the Est. Delivery Date field to open the calendar picker. From here, you can amend the ETA of the ASN:
