Completing a Product Upload Template (PUT)

Overview

When sending stock into our Expandly warehouse facilities, comprehensive product data is required. Accurate data is critical as it drives:
  1. Inventory control
  2. Fulfilment speed
  3. Cost accuracy
  4. Compliance
  5. Client satisfaction
  6. Warehouse scalability
In short, product data is the foundation of everything a 3PL does.

Completing the PUT - New Clients

1. Expandly will send you a 3PL intro via email. An excel file titled Product Upload Template will be attached
2. Download the PUT file and complete the following:
Mandatory Fields - these are highlighted in green and cannot be left blank (it is important to note that some fields will only be mandatory for certain Product Types - For Example: batch, expiry, and serial numbers)
Optional Fields - these are highlighted in yellow and can be filled in, if applicable and if you have the data available
Not Required Fields - these are highlighted in orange and can be left blank 
Please Note: Line 8 has been highlighted grey and will provide an explanation of the type of product data that needs to be provided for specific columns. Some key points include:
  1. Weights must be in KG 
  2. Dimensions (Length, Width, Height) must be in CM
  3. EAN/UPC must be correct format (12 or 13 digits)
  4. Commodity Code refers to UK and EU HS Code (8 digits, not 6 digit HTS code)
  5. Price and Cost Price must be in GBP - Cost Price specifically must be accurate for insurance as well as accurate Commercial Invoice goods valuing purposes

3. Once you have complete the PUT, please return this to Expandly. We will verify the data and upload the SKUs to our WMS and Expandly portal.
4. Once SKUs have been uploaded you can:
  1. Create your first ASN - this will detail what SKUs and Quantities are expected on your first shipment(s) into our warehouse(s). For more information on how to create an ASN, please click here 
  2. Create Sales Orders - SKUs will be available for you to add to Orders so once your stock has arrived, the Warehouse Team will know what to fulfil - for more information on creating sales orders, please click here

Complete the PUT - Existing Clients

1. If sending new SKUs, product data must be added so the warehouse team can process ASNs and sales orders accurately.
2. Reach out to our CSR Team to advise that you wish to send new products to Expandly - the Team can then issue the most up-to-date PUT template for you to download and complete
3. Once all product data has been added to the template, please return this to the CSR Team - Expandly will check the data and upload the SKUs for you, confirming once this has been done.

Always ensure the product data is accurate and complete. This prevents delays, errors, and ensures smooth warehouse operations.
